Club Med Terms & Conditions

1 - Offer Overview: This package, starting from $2,697, includes a 5-night stay at either Club Med Tomamu or Club Med Kiroro Grand, combined with promotional economy, premium, and business class fares from Cathay Pacific Group, China Airlines Group, and ANA Group. This offer is designed for groups consisting of a minimum of 20 adults, with no restriction on the number of accompanying children. Departures are available from Sydney, Melbourne, Brisbane and Perth.

2 - Inclusions: This package includes:

• Return airport transfers

3 - Booking Period: The sale commences on 25 February 2025 until 30 May 2025.

4 - Travel Period: This offer is valid for travel dates between 02 June 2025 and 30 September 2025. Opening dates of each resort vary and are subject to change.

5 - Booking Method: This offer is exclusively available when booking through the Club Med Australian Meetings & Events department.

6 - Pricing:

• The advertised price is based on the per-adult rate for a shared superior room in Tomamu for 5 nights from 02 June, airfares on China airlines ex SYD in Economy class based on CI 52/CI130 for Outbound and CI131/CI151 for inbound. Rates are subject to availability and change.
• Prices exclude tourist taxes, which are approximately $2 AUD per person per night and are subject to change
• Prices are quoted in Australian Dollars (AUD)
• The quotes provided will be valid for 7 days, after which prices may vary

7 - Eligibility & Availability:

• This promotion is valid for new bookings made in Australia only
• Offer is subject to availability and may be changed or withdrawn without notice
• This promotion cannot be used in conjunction with any other offer
• Blackout dates apply

8 - Quote Validity: Quotes provided are valid for 7 days from the date of issue. After this period, prices are subject to change based on availability and currency fluctuations.

9 - Deposit:

• A non-refundable deposit of 20% of the total package price per person is required to confirm the booking

10 - Insurance:

• Private travel insurance is highly recommended to cover unforeseen circumstances such as illness, injury, cancellation, or loss of personal belongings.
• It is the responsibility of the travelers to ensure that they have adequate insurance coverage

11 - Airline Terms & Conditions: Separate terms and conditions apply for each airline (Cathay Pacific Group, China Airlines Group, and ANA Group) regarding baggage allowance, check-in procedures, flight changes, cost, and cancellations. Subject to airline's terms and conditions and approval.

Deposit

• Deposit amount per ticket is 20% of fare for all cabins.

• Group deposit is due 7 calendar days upon confirmation. The Group booking will be cancelled if full

deposit is not received by the date.

• Deposits for Group bookings are non-refundable.

• The deposit will be credited towards final payment subject to a minimum of 80% materialisation rate of the seats held at time of deposit stage.

• If the group reduces below materialisation rate of 80%, the deposit amount will be adjusted accordingly and the difference will be forfeited.

• A minimum of 90% materialisation rate is required for groups traveling during peak season, agents will be notified if the dates fall into peak season.

Minimum Group Size

• Minimum group size is 10 per booking ID

Name Change

• Name correction request will be free of charge as long as it’s the same person and meeting the criteria and before ticketing

• If not the same person, a change fee of USD70 per transaction is charged for a complete name change.

a) Complete passenger name change is subject to a maximum of 10% of group size.

b) If complete passenger name changes exceed 10%, booking will have to be cancelled and

rebooked as a new group, deposit and full payment for original booking are non-refundable (except taxes).

Rebooking

• Rebooking permitted after ticket has been issued, seat is subject to system evaluation (fare and tax differences apply), plus rebooking fee USD70 per transaction per PNR.

Split Booking

• Split is allowed at AUD 50 per person for inbound & AUD100 per person for outbound within ticket validity (rebooking fee USD70 per transaction per PNR also applies), seat is subject to system evaluation (fare may change).

Cancellation after ticketing

• All tickets are non-refundable excluding unused taxes.

No show • If a passenger no shows on any CX flight, the ticket is non-refundable and seats will not be reinstated, only unused taxes will be refunded.

• A service fee of USD70 will be charged for processing tax refund.

Seating

.• Groups are pre-seated together. No individual seats preferences will be allocated.

Ticket validity

• As advised in the fare quote.

Check-in baggage

• Economy class : 1pc x 23kg

• Premium Economy class : 2pcs x 23kg

• Business Class : 2pcs x 32kg

Frequent Flyer Points (FFP)

• Asia Miles or one world FFP cannot be accrued for Groups travelling in ‘G’ Economy subclass. All

other cabins: Asia Miles or one world FFP are awarded for First, Business and Premium Economy

Class group fares.

Child Count / Fare

• Child fare is applicable only up to 25% of group size.

According to China Airlines group fare procedure, If you accept the group quotation, please reply via return email in 3 days with your confirmation on numbers of passengers and itinerary, we will send out your request to head office to get the final seats.

1.1.  After the final quotation is established and confirmed, please settle the group guarantee fee in 10 days
1.2. The guarantee fee imposed will be calculated as :20% in low season or 50% in high season x approval group fares per person approved group passenger numbers

Firming Check: Prior to 60 days in low season or 90 days in high season.

Please provide Final name list and Final Payment by 30 days prior to departure for low season or 60 days prior to departure for high season

4. Penalty:

4.1. The agreed group booking and fare will not be applicable and the penalty of 100% x Guarantee fee will be imposed if:
4.1.1. failing to comply with any of the following time limits: Firming Check; Name In; Ticketing, or
4.1.2. either the Firming Check Group Passengers or Final Group Passengers are less than: 10
4.2. Group seats utilisation rate:  80% of the total seats. Full fare per seat will be charged for the difference between final passenger numbers and 80% of the total seats.  
4.3  Cancellation: If the utilisation rate is higher than 80%,the penalty imposed will be calculated as follow:          
4.3.1. Low season: cancel on 60 - 30 days prior to departure, AUD50 per seat will be imposed (Cancel prior to 61 days no penalty); high season: cancel on 90 - 60 days prior to departure, AUD100 per seat will be imposed (Cancel prior to 91 days no penalty)
4.3.2. Cancel after ticketing until 8 days prior to departure : AUD500  per seat
4.3.3. After ticketing within 7 days prior to departure : refund tax and YQ only.
4.4. Name correction:  
4.4.1. Before ticketing : free of charge
4.4.2. After ticketing, issue new FIT tickets with the same itinerary and equal or higher fares than group fares, Group tickets with incorrect name will incur a cancellation fee of AUD 200

Names are required 30 days before departure and ticketing by 21 days prior to departure.

01.Definition of a Group

Minimum of 10 passengers is required for a group booking.  If group size reduces to below 10, the offered fare will no longer apply.
All passengers must travel on at least one international flight together. In addition, no fewer than 10 passengers are required to travel together on all flights.

02.Quotation

Group Fares departing from Australia are quoted in AUD per passenger and are non-commissionable. 
Any changes requested to any part of the confirmed flight itinerary will require reassessment of the Group Fare, Taxes, Fees and Carrier Charges. A request to increase the number of passengers will require the creation of a new associated PNR and reassessment of Group Fare, Taxes, Fees and Carrier Charges for the additional seats.

03.Discount

Child of 2-11 pays 75% of Adult Group Fare.
Infant of 0-1 not occupying seat pays 10% of Adult Group Fare. 
Infant of 0-1 occupying seat pays 75% of Adult Group Fare.
No FOC tickets are provided.

04.Taxes, Fees and Carrier Charges

Fuel Surcharge is levied on all ANA international itineraries and is included in the Taxes, Fees and Carrier Charges indicated on the previous page. The amount listed is as of the day of quotation and subject to change.
Fuel Surcharge will be fixed on confirmation of booking. Taxes, Fees and other Carrier Charges will be charged as per the rate of day of ticket issuance.

06.Deposit Refund Policy

▪ Any seat cancellation 30+ days from departure:

• If the group size of 80% is maintained: Deposit for cancelled seats will be refunded.

• If the group size is reduced to less than 80%: Deposit of additional cancelled seats will be forfeited.

• If all seats are cancelled: Non-Refundable.
  ▪ Any seat cancellation from 29-0 days from departure: No refund.

07.Passenger Names

Please refer to the table above for Name Deadline.
All names to be provided should be per passport and include Last/Family Name + Given Name.

08.Name Correction (Spelling Error)

Before ticketing - Permitted without fee.
After ticketing - Not permitted.

09.Name Changes (Passenger Replacement)

Before ticketing - Permitted without fee.
After ticketing - Not permitted.

10.Changes (Date/Routing)

Before ticketing - Changes are permitted. Any changes will require the Group Fare, Taxes, Fees and Carrier Charges to be reassessed subject to the seat availability. No change fee is applicable before ticketing.
After ticketing - no change permitted.

11.Cancellation Penalty (Before Ticketing)

▪ For cancellations 45+ days from departure: Deposit will be forfeited if group size is reduced to less than 80%.
▪ For cancellations 44-30 days from departure: Deposit will be forfeited and an additional 10% of fare per person will be collected if group size is reduced to less than 80%
▪ For cancellations 29-21 days from departure: Deposit will be forfeited and an additional 20% of fare per person will be collected.
▪ For cancellations 20-0 days before departure (after ticketing) : 50% of fare per person will be collected.

13.Special Service Request

Any Special Service Requests are to be advised at least 2 weeks prior to departure. For any requests received within 2 weeks of departure, we will do all possible to assist but they are not guaranteed.
